When is my team's food hygiene refresher due? Free planner for pubs, cafés and restaurants

Type in each person's level and the date they last trained. You'll see straight away who's overdue, who's due in the next three months and who's fine, sorted with the most urgent at the top. Then print it for the office wall or your training folder.

The short answer

Food hygiene certificates don't legally expire, but refreshing training about every three years is the widely accepted good practice. This planner adds three years to each person's last training date, or one or two years if your business prefers.

General guidance, not legal advice. Three years is good practice, not a legal deadline: refresh sooner if someone's job changes, habits slip or an inspector raises training.

How the planner works

It takes the date each person last completed food hygiene training and adds your refresh period, three years unless you change it. Anyone whose date has passed shows as overdue. Anyone due within the next three months shows as due soon, which gives you time to book courses around the rota and buy at the best price. Everyone is sorted so the most urgent are at the top.

Do food hygiene certificates expire?

No. There's no legal expiry date on a Level 1, 2 or 3 certificate anywhere in the UK. What the law asks is that staff have the right skills and up-to-date training for their role, and that you keep a record so you can show it during an inspection (GOV.UK). Refreshing about every three years is how most businesses keep that training up to date. Our guide How long does a food hygiene certificate last? explains more, including when to refresh sooner.

Questions people often ask

Can staff keep working if their refresher is overdue?

Yes. An old certificate doesn't stop anyone working. Book a refresher when it suits the rota, and keep a close eye on how they work in the meantime.

Should I refresh everyone at the same time?

It's usually better not to. Spreading refreshers across the year, as people join, keeps costs and rota disruption down. The planner makes it easy to see who's next.

Does a refresher have to be a full course?

Not always. A full online course every three years, plus short team briefings when things change, is a sensible pattern. Our course comparison shows Level 2 courses from £12.
